MEGA’s application portfolio management solution helps you inventory, assess, and transform the applications that make up your information system, allowing you to:

  • Simplify and lower the cost of your application portfolio
  • Better manage risks and ensure information system compliance
  • Tailor your application portfolio to your business challenges

Application Portfolio ManagementToday’s IT departments must tackle challenges on several fronts: rapidly deploy new applications and effectively support changing business needs, control the maintenance and service costs of all information system components, and rationalize the application portfolio and ensure its compliance with the latest regulations and standards.

MEGA’s application portfolio management (APM) solution was developed to support application portfolio managers, application owners, and management controllers throughout the application portfolio optimization and transformation process, with a personalized interface for each user profile.

Our solution starts by performing a thorough analysis of the various applications in use by your business units. It gives your IT department effective tools to continuously improve your application portfolio and make the right upgrade decisions in terms of cost, speed, performance, and risks.

Workflows, a shared repository, and a collaborative workspace help stakeholders share information and knowledge, ensure full data traceability, and leverage existing standards, methods, and documentation.

MEGA’s application portfolio management (APM) solution covers all steps in the application portfolio optimization and transformation process, and can be configured to fit your particular organization.

Inventory phase: Collecting data and setting up an application repository

Data about your different applications are collected using a decentralized process, consolidated into a single repository, and used to generate a detailed application ID Card. A workflow automatically updates the data regularly based on questionnaires sent out across the organization. Reports and dashboards generated by our solution give you a simple, well-structured view of your application portfolio with the technology, data flows, life cycle, risks, costs, functional coverage, and business processes associated with each application.

Evaluation phase: Analyzing data and assessing the application portfolio

The data are grouped into application portfolios and sub-portfolios according to criteria like business benefits, costs, risks, and technical and operational performance, allowing for an in-depth analysis. Reports are then generated, letting you assess applications’ business value, technological performance, and costs; you can also use the solution’s comparative tables and graphs to assess the overall application portfolio. This makes it easy to identify redundant applications, the most business-critical applications, and the most costly applications in terms of functionality, technology, and business use. This type of assessment also helps determine priority areas for information system upgrades.

Transformation phase: Developing and comparing transformation scenarios

Our solution lets you take different perspectives and constraints into account, so you can better manage your application portfolio and make more informed decisions about upgrades. You can also test and compare different transformation scenarios using reports generated by the solution. This information can help you develop a targeted information system for your organization, while minimizing the change-related risks and costs.

1. Inventory phase: Collecting data and setting up an application repository

Collecting application data

  • Application data are entered through an intuitive web-based interface
  • Data can be imported from a pre-configured Excel file or through synchronization with a CMDB

Creating application ID Cards

  • Application ID Cards are created for each application listing its general characteristics, functional data, technology, and the businesses it covers
  • The risks associated with each application are indicated
  • Each application’s data flows with other applications are indicated
  • Each application’s deployment and deployment characteristics (like environment and hosting, life cycle, and costs) are identified and depicted graphically

Carrying out application portfolio update campaigns

  • Update campaigns are developed based on reports about the state of your application portfolio
  • Application data are updated through customizable questionnaires and tasks
  • A workflow is used to assign staff to update applications
  • Email alerts are sent out to notify application managers and management controllers
  • Progress is tracked using application landscape reports

Consolidating application portfolio data

  • The results of the update campaigns are aggregated automatically
  • The state of your applications and their deployment is depicted through dashboards

2. Evaluation phase:  Analyzing data and assessing the application portfolio

Structuring the application portfolio

  • Assessment criteria are selected from a customized list
  • Assessment criteria are specified using information provided by users and/or inventory data centralized in the repository
  • The assessment criteria are used to group applications into portfolios and sub-portfolios
  • Assessment results are consolidated into automatically-generated reports

Analyzing application data

  • Applications’ business value is analyzed using reports on their functional coverage and alignment with business needs (business processes, information system urbanization plans, and business capacity)
  • Applications’ technological performance is analyzed using reports on technology rationalization, the risks of using obsolete or non-compliant technology, and risks related to technology suppliers
  • Applications’ costs by type (labor, services, licenses, and IT infrastructure) are calculated, along with their total cost of ownership (TCO), operational expenditure (OpEx), and capital expenditure (CapEx)
  • Changes in application costs over several years are analyzed

Consolidating application analysis results

  • Data from the different reports for a given application portfolio are compiled and analyzed through summary tables and graphs
  • The life cycle of each application and its components is determined
  • Applications’ costs are assessed in terms of business value and functional and technological performance
  • Redundant applications are identified based on the application portfolio assessment
  • The most business-critical applications are identified

3. Transformation phase: Developing and comparing transformation scenarios

Developing and testing transformation scenarios

  • Transformation initiatives are developed based on predetermined criteria
  • Options for the paths of applications’ life cycles are outlined in different scenarios
  • The effects of changes in these life cycles are simulated using Gantt diagrams

Analyzing and comparing scenario results

  • Transformation scenarios are assessed using graphical reports and criteria like costs, risks, and technological impacts
  • The scenarios are compared using application life cycle graphs and the estimated effects on applications’ cost and technology
  • Reports and summary tables are used to select the most appropriate scenario
  • Project portfolio management (PPM) software can be interfaced with the solution

Benefits

Today’s IT departments must tackle challenges on several fronts: rapidly deploy new applications and effectively support changing business needs, control the maintenance and service costs of all information system components, and rationalize the application portfolio and ensure its compliance with the latest regulations and standards.

MEGA’s application portfolio management (APM) solution helps IT departments inventory, assess, and transform application portfolios, so that your organization can:

Simplify and lower the cost of your information system

Our solution gives you a clear, well-structured view of your application portfolio thanks to its inventory and data analysis capabilities. Comparative reports and tables let you identify redundant applications, the most business-critical applications, and the most costly applications – key information to help you make the right investment decisions and establish your IT budgets. This information can also provide guidance for decisions on changes to the application portfolio based on factors like speed, performance, and ROI for the businesses involved, enabling you to better target your IT investments.

Better manage risks and ensure information system compliance

Our solution lets you associate risks with applications during the inventory step, and add details about the corresponding application deficiency. This information is consolidated into reports and tables that let you clearly determine whether the risks are related to technological performance, faulty technical support, technological obsolescence, a failure to meet business needs, a failure to meet regulatory requirements, or vulnerability to a cyber attack.  This inventory step also helps you determine how critical each application is for business continuity, making it easier to develop business continuity plans (BCPs) and IT continuity plans (ICPs) that are guaranteed to be effective since they are based on reliable data.

Tailor your application portfolio to your business challenges

With our solution, you can gather information about how well applications meet business needs and improve their performance through questionnaires sent to business users on a regular basis via email alerts. This direct feedback from staff using the applications helps you identify the necessary information system upgrades and keep your application portfolio continually aligned with rapidly evolving business needs − thereby improving your organization’s overall performance.

Our secure, web-based application portfolio management solution is powered by HOPEX, our signature platform integrating all MEGA operational governance software. This means you get greater synergies and collaborative efforts among departments, as well as a clear, shared view of key information about your organization. Our HOPEX platform helps ensure that all stakeholders are working toward the same goals and supporting your organization’s operational governance strategy.
